Administrative Assistant

South Plainfield, New Jersey

Overview

Seeking a motivated and assertive Administrative Assistant to work in our South Plainfield office. The Administrative Assistant will occupy our reception area and will be responsible for day to day office operations including office management.

Responsibilities

  • Answering phone calls, greeting guests/clients, and directing inquires to the appropriate departments
  • Maintaining inventory and procurement of office and field supplies
  • Distributing and sending out mail, FedEx, UPS parcels
  • Coordination with the remote IT support team
  • Organize and schedule appointments on company-wide calendars
  • Coordination and setup of company-wide events
  • Ability to maintain professional client relations and interact with vendors on the company’s behalf including suppliers, landscapers, waste removal company, cleaning services, etc.
  • Coordination of general administrative activities for daily office operations
  • Interaction with team members in several different disciplines
  • Coordination of travel accommodations as needed
  • Routine local travel within Middlesex County
  • Assisting other departments as needed
  • Other administrative duties as assigned

 

Experience

  • Bachelor’s Degree required
  • 2 years minimum of office experience
  • Excellent call handling skills and phone etiquette
  • Computer savvy / ability to troubleshoot minor IT issues
  • Proficiency in MS Office Suite
  • Must be able to maintain an organized schedule, multi-task, and meet deadlines
  • Must take initiative
  • Must have effective decision making skills
  • Must work well independently with limited supervision and work well as part of a team
  • Excellent organization skills and strong attention to detail
  • Valid driver’s license and reliable vehicle

Preferences

  • 4+ years of office experience
  • Front desk / reception experience
  • Experience in a professional services based business
  • Experience in Adobe Creative Suite is a plus
