Office Manager/Administrator

Overview

Seeking a well-organized, reliable Office Manager/Administrator to work in our innovative, highly respected, and dynamic engineering firm. This position will be responsible for day-to-day office operations in our San Juan, Puerto Rico office. We are looking for a driven Office Manager/Administrator who will wear multiple hats in a fast growing firm. Interested candidates should submit a cover letter and resume.

Responsibilities

  • Supervises administrative staff
  • Supervises accounting processes (including Billing, A/R and A/P)
  • Coordinates office activities and operations to ensure efficiency and compliance to company policies
  • Processes weekly/biweekly payrolls
  • Stays up-to-date on federal and local laws
  • Interacts and coordinates with team members including engineering professionals, designers and technicians, construction managers, and several other disciplines both in PR and remotely in NJ
  • Provides support in all Human Resource functions including recruitment, onboarding, and terminations
  • Manages and maintains benefits and works directly with insurance and benefits brokers
  • Manages and maintains insurance policies, government licenses, and certifications
  • Supports the procurement of new projects (assists in proposal writing and project bids)
  • Supports Project Managers
  • Provides administrative support where needed

  • Occasionally required to lift and carry items less than 10 pounds

Experience

  • Bachelor’s Degree required in Accounting/Finance
  • 10+ years management experience
  • 10+ years of administrative/office experience in a professional services based industry
  • 5+ years of experience with running payroll
  • 1-2+ years of experience in Human Resources
  • Ability to delegate and divide responsibilities for a small group of staff to ensure optimal efficiency
  • Intermediate knowledge of accounting software and MS Office Suite
  • Must exercise sound judgment and discretion and maintain confidentiality
  • Must have excellent written and verbal communication skills in both Spanish and English
  • Ability to maintain workflow in a fast-paced environment
  • Must be able to multitask and meet deadlines
  • Must have excellent organization skills and strong attention to detail
  • Valid driver’s license and reliable means of transportation
  • Local travel required

Preferences

  • Experience with ADP Workforce Now and Deltek Vision software
  • Administrative/office experience in the construction industry
