Recruiting Coordinator/Talent Acquisition (in-house) & Human Resources Assistant (entry-level)

Overview

Seeking Recruiting Coordinator/Human Resources Assistant for our South Plainfield, NJ office.

The Recruiting Coordinator/HR Assistant facilitates sourcing/headhunting for potential candidates, interviewing, and onboarding activities that lead up to the date of employment. The Recruiting Coordinator/Human Resources Assistant will also provide administrative and human resources support. This position reports to HR.

Responsibilities

  • Develop, post, and maintain approved ads on multiple job boards and MFS’ website
  • Research and apply appropriate recruiting tools/techniques within an allocated budget
  • Source and pre-screen all potential new hires for NJ, NY, and PR offices, including identifying and evaluating passive applicants
  • Compile, review, and forward pre-hire documentation (transcripts, work samples, employment application, verify licensing, etc.)
  • Maintain resumes/applications for future employment possibilities and follow proper record retention schedules
  • Work directly with PMs to schedule interviews and maintain Outlook calendar with candidate appointments
  • Attend interviews with PMs
  • Responsible for drafting and extending approved offers/contracts to candidates
  • Verify and coordinate payment of employee job referrals
  • Identify, coordinate, and participate in career fairs and other recruitment events and involve the marketing department
  • Develop and maintain professional relationships with university career centers as a source to generate qualified applicants
  • Work with PMs and owners to forecast employment needs
  • Routinely review recruitment process to monitor costs, efficiency, and liability, and recommend changes or improvements
  • Maintain employee files and database
  • Support administration, coordination, and application of company-wide human resources policies, procedures, and practices
  • Work remotely with San Juan, PR office
  • Coordinate onboarding with HR, Payroll, and Admin.
  • Work with outside recruiters and temp agencies, when applicable
  • Other HR duties as assigned
  • Answer front desk phone calls as needed

Experience

  • Must have a high school diploma or equivalent
  • 1-2 years’ of office experience
  • Some knowledge of best hiring practices
  • Strong written and verbal communication skills
  • Ability to represent company professionally while sparking conversation and interest at career fairs, etc. with potential hires
  • Computer savvy
  • Proficient in MS Office Suite
  • Ability to operate basic office equipment
  • Must be detail oriented with a high degree of accuracy
  • Solid time management and demonstrate excellent organizational skills
  • Must exercise sound judgment and maintain confidentiality
  • Must be self-directed and self-motivated to accomplish tasks
  • Must work well independently with limited supervision and work well as part of a team
  • Willingness to travel to and from career fairs in NJ and NYC and to satellite office in NYC, if needed
  • Reliable means of transportation
  • Background check

Preferences

  • Spanish is a plus, but is not required
  • 1-2 years’ experience in recruitment and/or Human Resources
  • Recruiting experience in engineering/construction industry and/or technical positions
  • Knowledge of labor laws
